Transport & Dispatch Associate
Job Purpose: Ensure the efficient transportation of shipments through the vehicle fleet and local agent network, while maintaining safety, compliance, and quality standards.
Key Responsibilities:

Coordinate collections, deliveries, drop-offs, and recoveries with internal departments, offices, agents, and drivers

Maintain clear communication with the packaging team to ensure availability of required supplies

Prepare and condition shipments as needed
-
Create appropriate route legs based on service requirements

Provide accurate documentation to drivers and agents for all movements
-
Track shipments using the designated Dispatch Wiki report
-
Confirm all recoveries by matching information to the manifest during reception
-
Ensure drivers are updating shipment status using the mobile application
-
Conduct regular inspections of vehicles to verify proper condition
-
Expedite dispatch for time-critical shipments and notify the receiving location accordingly
-
Report discrepancies to the relevant department or agent and update records in the system
-
Keep the Tableau board updated with real-time status
-
Upload and download required documents, including TT4s, in a timely manner
-
Place delay codes and relevant notes in the tracking system
-
Maintain the dispatch turnover spreadsheet for the incoming shift
-
Print and confirm emails for scheduled pickups
-
Maintain regular communication with export/import teams for airport activity
-
Monitor real-time locations of drivers and logistics partners
-
Replenish delivery supplies as needed
-
Process payments for import shipments
-
Create pickup orders for airline shipments
-
Monitor and manage the Route Leg Alert screen to prevent delays
Requirements:
-
Experience with airfreight, import/export operations, and knowledge of relevant regulations (TSA, US CBP, FDA, etc.)

Background in a GDP-compliant environment preferred

Ability to identify and implement process improvements

Strong problem-solving and decision-making skills
-
High attention to detail with a focus on quality

Effective communication and organizational skills
